DME Navigator® FAQ
Durable Medical Equipment (DME) plays a critical role in helping people recover, manage chronic conditions, and receive care safely at home. Historically, the DME process has been fragmented and manual, often requiring multiple handoffs, phone calls, and follow‑ups across clinicians, suppliers, and health plans.
DME Navigator® was created to modernize this experience. By improving coordination, increasing transparency, and streamlining workflows, DME Navigator helps support timely access to appropriate equipment while making the process easier to navigate for everyone involved.
This FAQ is intended to serve as a single, trusted source of information for health plans, patients / health plan members, clinicians, and DME suppliers.
Overview of DME Navigator®
What is DME Navigator?
DME Navigator is an end-to-end DME benefits management solution featuring a single digital point-of-care platform with electronic health record (EHR) integration that streamlines the entire process from ordering and distribution through fulfillment and payment.
DME Navigator drives better health outcomes through:
- Streamlined Digital Ordering: Replaces clunky, manual processes with a unified EHR integrated digital DME ordering platform that integrates into existing workflows and mirrors a modern retail ordering experience.
- Automated Electronic Prior Authorizations: Integrates evidence-based criteria and EHRs to automate electronic prior authorization submissions, leveraging evidence-based clinical criteria to help clinicians make the most informed and clinically appropriate care decisions.
- Real-Time Updates & Monitoring: Provides full visibility for all stakeholders, allowing ordering clinicians, suppliers, and patients to track orders, approvals, and deliveries in real time, increasing transparency and enabling proactive management.
- Supplier Network Management: Maintains a network of high-quality, credentialed DME suppliers that support member access to equipment and services, including in rural and underserved areas, while helping ensure timely, cost-effective delivery, setup, and support.
- Payment Integrity: Employs advanced claims review to verify accurate billing, enforce policy and program adherence, and identify waste and abuse.
Why did DME benefits management need to be modernized?
Historically, the DME benefits management process has been antiquated and inefficient. Health plans, providers, and members alike face challenges such as:
- Lack of transparency and integration
- Reliance on outdated, manual communication channels that are prone to errors and inefficiencies
- Multiple portals for eligibility checks and prior authorizations
- High rates of denials due to missing clinical information
- Untimely equipment delivery that impacts outcomes and costs
Traditional solutions are not enough to solve the current challenges in the DME landscape. Most focus on certain segments of the value chain, such as online ordering, utilization management, or claims editing—patching together partial fixes or addressing challenges in isolation.
As more care shifts into the home, health plans, patients, clinicians, and suppliers need DME processes that are more transparent, reliable, and efficient—supporting timely care, appropriate utilization, and a better overall experience for all stakeholders.

Equipment Orders & Returns
Will DME Navigator change the equipment I receive?
Your clinician continues to determine what equipment is clinically appropriate for your care. DME Navigator is focused on how equipment is coordinated and delivered, not on changing clinical decisions.
Will my upcoming delivery be delayed?
DME Navigator is designed to improve coordination and visibility into DME orders so equipment can be delivered as efficiently and reliably as possible. Once your order is received, it will be processed based on medical necessity, authorization requirements, product availability, and supplier capacity. If any issue arises that could impact your delivery timeline, you will be notified and provided with updates throughout the process.
How can I track my equipment order?
With DME Navigator, you and your care team can track an order from fulfillment to delivery.
You will receive text messages from DME Navigator letting you know the status of your order, including a tracker once your order has shipped.
What happens if I already have equipment?
Existing equipment and ongoing needs are reviewed as part of the care coordination process to help ensure continuity and avoid unnecessary disruption.
How do I return my equipment?
If you would like to return your equipment, please contact your physician first to make sure they are in agreement. You may then contact your DME supplier directly to make arrangements for pick up. If you do not have your DME supplier’s contact information, in many cases, it can be found on the equipment.
Continuity of Care
What if I was using a different supplier before?
We understand that many members have strong, trusted relationships with their current equipment providers. In some cases, your supplier may change as part of the transition to DME Navigator. When this happens, continuity of care remains a priority.
CareCentrix works with a network of credentialed providers who are evaluated for quality, service, and reliability. These providers are focused on delivering high‑quality equipment, timely delivery, and ongoing support to help ensure a smooth and reliable experience for members.
Transitions are managed carefully, with additional attention given to complex or sensitive needs to help maintain stability and continuity of care.
